Conference Presentation Format Preference
• In-Person (Frisco, TX) – courses are presented in-person and will not be available on-demand

Presentation Format Reminder

Poster
Posters should be no larger than 36” x 48”. Posters will be on display during an assigned 1-hour poster session. Presenters (maximum of 2) are required to be with their poster the entire 1-hour block of time.

• Research Forum
This is a 2-hour forum session with multiple presenters. Presenters (maximum of 2) are assigned to a 20-minute time slot to present their research.

• Practice Forum
This is a 1-hour interactive networking session for OTPs in similar practice areas. Presenters (maximum of 3) facilitate conversation around current issues in practice, share resources, and/or collaborate around setting-specific initiatives to enact beyond the conference as a community of practice.

Short Course
1-hour – Maximum of 2 presenters
2-hours – Maximum of 3 presenters; one 15-minute break required

• Long Course
4-hours – Maximum of 5 presenters; two 15-minute breaks required

•Workshop
7.5 hours – Unlimited number of presenters; three 15-minute breaks required

 Registration

It is the expectation that all presenters be registered for at least one day of the conference.  Special considerations will be made for those who are exhibitors and non-OT professionals. Exceptions will be reviewed on a case by case basis by contacting the executive director, Judith Joseph. 

Presentation of Credentials
We ask that all presenters who are licensed in Texas comply with §369.3 of the OT Rules and §454.007 The OT Practice Act: 

  • Abbreviations such as OT/L, OTR/L, and LOT and OTA/L, COTA/L, and LOTA should not be used. 
  • As per §454.007, Use of Title of Doctor, of the OT Practice Act, “An occupational therapist or occupational therapy assistant may not use the abbreviation “Dr.,” the word “Doctor,” or any suffix or affix indicating or implying that the person is a physician.”
  • Note: The presentation of your credentials is subject to correction in the Whova app and in our publications. Replace the section titled "position" or "title" with your credentials".

Room Set up
All rooms will be setup in theater style.

  • If you move chairs they must be returned to their original position before your sessions ends.
  • We cannot accommodate any request for tables or specific room setup unless you have a long course (3-4 hours) or a workshop (7.5 hours). Contact Judith Joseph @ [email protected] and refer to your session number and title.

All rooms will include the following:

  • WIFI for speakers (you will be provided with the code)
  • Podium or highboy table
  • Screen
  • Projector
  • Wireless microphone
  • Note: TOTA does not provide laptops, you will need to bring your own laptop.  Presenter laptops should be up to date with the latest window updates and use laptops that can utilize HDMI ports. If the laptop needs an adaptor, the presenter must provide their adapters. 

Handouts and Videos 
DUE DATE: Friday, November, 1, 2024

  • All handouts, videos, and must be received by TOTA on or before 11/1/2024
  • There will be no printing available onsite. 

We are using Whova again for our conference app.

  • Handouts can be uploaded into the Whova app. 
  • Handouts must be submitted in PDF format.
  • If you do not have access to the speaker center on Whova, please contact Eileen Garza @ [email protected] and provide your email address.

Posters  

Posters will be displayed onsite and only available to live attendees.

TOTA 2024 Poster Guidelines

  • TOTA will provide foam boards and easels that support poster sizes up to 48” wide and 36” high.
  • Posters should be no larger than 48” wide and 36” high.
  • Presenters are responsible for providing tape, clips, or other supplies required to secure the poster to the foam board and easel. The foam board and easel will be provided by TOTA.
  • Font size should be at least 28 for visibility.
  • Resolution of images should be 300 ppi (pixels per inch) for clarity.
    A low-resolution image will be blurry, or pixelated, when enlarged on a poster and detract from the presentation.
  • Prepare a 15-minute verbal presentation of your poster.
